Job Overview:

The Assistant Purchasing & Loading Dock Manager will be responsible for providing leadership and direction to the loading dock in areas of responsibility including administration, receiving, shipping, quality control, accountability, safety and sanitation. This positions acts as senior liaison between individuals in the hotel and supplier representatives in the coordination of shipping and receiving of goods and services required to achieve the objectives of each area of the building. Also responsible for managing the inter-departmental transport of materials and oversees most day to day operations of the loading dock.

Essential Job Functions:

  • Ability to work under pressure and in a fast paced environment.
  • Maintain excellent communication with all stakeholders – hotel team, tenants and condo owners. Construction Company and Residential Operator
  • Maintain a clean and orderly loading and receiving area.
  • Govern and control deliveries and pickups during business hours.
  • Help with the coordination of the residential move ins and outs.
  • Obtain records of orders placed by operators and hotel management daily and track orders from receipt to delivery to correct location.
  • Expediently cause to deliver products and purchases to the correct department and obtain proof of delivery.
  • Accept all the deliveries including food and beverages and verify the products ordered meet or exceed the operating standard.
  • Receive and Check each order, particularly liquor beer and wine, to make sure it is delivered to the correct operator. Match packing slips to the physical items received.
  • Supervise the outgoing mail and returns.
  • Oversee operators’ receivers, making certain they take possession and deliver only products of their respective owners.
  • Help with the hotel procurement of goods when requires by the purchasing director. It includes the initiation of Purchase Orders and track approval process until executed by the required members of management.
  • Maintain receiving records in Birchstreet (Procurement software) on the daily basis.
  • Maintain professional relationship with vendors and delivery persons.
  • Keep consistent flow of loading dock, street and commercial traffic.
  • Oversee the waste rooms and make sure that all the areas of the building dispose the garbage properly based on the current city laws.
  • Directly supervise the Storeroom.
  • Train new staff members on the policies and procedures of the loading dock use.
  • Work daily with Accounts Payable to ensure Birchstreet is accurate and up-to-date.
  • Performs special projects as needed and instructed by Director of Purchasing.
  • Process daily food receiving report for one of the Restaurants.
  • Match POs in Birchstreet with packing slips and invoices.
  • Always treat guests with courtesy and respect in a variety of situations.

  • Adhere to hotel Health and Safety guidelines.



Requirements are representative of minimum levels of knowledge, skills and /or abilities. To perform this job successfully, the employee will possess the abilities or aptitudes to perform each duty proficiently with or without reasonable accommodation.


  • High School Diploma.
  • 2+ years of experience in purchasing and receiving preferably in a hotel and F&B environment.
  • Exceptional guest service skills.
  • Excellent Computer skills including MS Word, Excel is a must, internet applications and Birchstreet or any other PO system,
  • Prior experience in purchasing and inventorying of liquor, beer and wine.
  • Ability to work flexible schedule (Including weekends and holidays).
  • Must have a strong attention to detail and highly organized.
  • Ability to multi-task in a high-paced environment.
  • Must be able to make quick decisions and possess good judgment.
  • Must be able to evaluate and select among alternative course of action quickly and accurately.
  • Must be effective in handling problems in the workplace, including anticipating, preventing, identifying and solving problems as necessary.
  • Must be effective at listening to, understanding, and clarifying the concerns and issues raised by co-workers and guests.

Must be able to work with and understand financial information, data and basic arithmetic functions.

Must remain professional in all situations.

Ability to work with multiple operators including hotel management, restaurants (2), lounge staff, and condominium association team. * Strong documentation and paperwork is essential. The successful candidate will be responsible for accepting deliveries and forwarding same to several different operations within the hotel.

  • Must be able to convey information and ideas clearly.
  • Must work well in stressful, high-pressure situations.
  • Approach all encounters with guests and associates in a friendly, service-oriented manner.
  • Maintain regular attendance as required by scheduling which will vary according to the needs of the hotel.
  • Comply at all times with Two Roads Hospitality standards and regulations to encourage safe and efficient hotel operations.
  • Be thoroughly acquainted with all technical equipment to fully utilize its capabilities and extend efficient services to hotel guests.


  • Experience in managing perpetual inventory systems and computer assisted programs like Birchstreet.
  • Experience operating various pieces of equipment including compactors and mulching equipment.

Physical Abilities:

  • Endure various physical movements throughout the work areas, such as reaching, bending and stooping, sitting for long periods of time.
  • Ability to stand for a long period of time, stoop, bend and lift items weighing up to 50 pounds.
  • Repetitive hand motion (typing) for extended periods of time.
