In summary, the Mailing Production Coordinator is responsible for all mail production and data processing operations of all direct mail campaigns ensuring the highest production efficiencies at the lowest cost while meeting USPS regulatory requirements, company performance standards, and customer satisfaction. Managed and analyzed approach to processed mailing data and project requirements to provide the best method for postage optimization with targeted in-home window delivery.

Responsibilities:

  • Responsible for tracking all mail jobs through all phases from data processing to final delivery and subsequent tracking to meet in-home delivery performance and report back to Director.
  • Manage mailing projects planning and scheduling of direct mail campaigns on a tight deadline driven by an In-home mail delivery deadline.
  • Assist clients on their direct mail piece and mail lists making recommendations and ensuring USPS rules are regulations are met for each mail campaign.
  • Actively participated in pre-planning meetings to establish mail distribution timelines
  • Work directly with external partners and vendors to coordinate mail data processing and file delivery to MSP (Mail Service Providers).
  • Support the development of internal team members through scheduled USPS Postal Training Sessions and distribution of USPS Updates and News.
  • Coordinate with various departments to ensure daily mailing and mail reporting requirements are met.
  • Develop and maintain effective quality control procedures for new and existing processes.
  • Maintain current knowledge of mailing rules, regulations, and incentive programs by staying up to date with changes and postal promotions.
  • Other Ad hoc tasks as required by business needs and to support the Distribution Dept.
  • Coordinate freight (TL LTL) shipments both inbound and outbound.
  • Obtains, assesses, and negotiates freight quotes, via truck and or Rail with Approved Vendors.
  • Manages to time of deliveries and schedules per requirements.
  • Evaluates the performance, quality, and pricing of freight vendors.
  • Evaluates and suggest alternative freight vendors.
  • Coordinate logistics, timing, and priority of all distribution with outside vendors.
  • Liaison and communicates with customer service and finance on all distribution.
  • Completes any and all CPM Freight POs to be approved by Director.
  • Timing of receipts, reporting (Metrics).
  • Cross-check all BOLs with Invoices for approval.
  • Ad hoc tasks and analysis as required by the business.

Qualifications:
Qualifications & Experience:

  • The ideal candidate will have a background in mailing distribution and logistics and working with data processors, mail
  • Consolidators and USPS while working in a growth company & understands how to multitask
  • USPS/Mailing Requirements Background 5-Years (Preferred)
  • Mail Data File Processing Knowledge and Process Understanding (Preferred)
  • Mail Distribution and Logistics Knowledge and Experience (preferred)
  • Extensive use of Microsoft Office products

  • Excellent communication skills (verbal & written) for effective vendor & internal staff communication
  • Attention to detail drives tasks to closure efficiently with error‐free results
  • Ability to perform under high-pressure situations and tight deadlines

Education:

  • High School Completion Diploma
  • College -BA/BS preferred (Not Required)
  • USPS Mail Course (added plus)
