JOB SUMMARY

This position has two distinct functions related to student success at Hamline University.

As Coordinator of Campus Recreation Program, this professional is responsible for the overall vision and administration of Hamline University’s comprehensive Campus Recreation Program. Under the supervision of the Director of Student Leadership and Leadership Development, this staff member is responsible for campus recreation programming, including intramural sports, fitness, and special events.

As the Coordinator of Payroll, this professional administers the Student Worker Payroll program. In this role, this staff member works with and provides service and assistance to students who are hired and paid wages for on-campus and off-campus jobs. In this role, the staff must serve as a liaison with off campus employers, campus department heads and hiring managers to ensure proper hiring of students to work study positions on and off campus. This staff member is supervised by the Payroll Manager, and supports and assists them in all aspects of payroll processing, compliance, and tax and audit policy.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Campus Recreation

  • Provide leadership in the planning, development, and supervision of recreation and wellness opportunities for Hamline students, staff, and faculty, including but not limited to: intramural sports, fitness, and special events.
  • Develop and implement intramural sports leagues and tournaments, fitness classes, special events, and other recreational activities.
  • Oversee the mascot program including creation and management of mascot uniform; hiring and training of students; coordinating appearances and game protocol.
  • Select, supervise, train, and evaluate all recreation student workers and any necessary contract staff (i.e., club coaches, fitness instructors, etc).
  • Assist with implementation of designated campus programs within the Office of Student Activities as and Leadership Development as assigned by supervisor.
  • Develop and maintain program policies, administrative documents, records, and equipment inventory.
  • Responsible for planning and managing Campus Recreation operational and restricted budgets.
  • Oversee operation of Campus Recreation Desk and Walker Studio, and work collaboratively with other university offices to facilitate use of Mulkern Court, outdoor sand volleyball court, and the Sorin Game Room.
  • Promote Campus Recreation programs, services, and policies through website, IMLeagues, social media, and publications.
  • Work, in collaboration with Athletics, Facility Services, and Conference and Event Management, to identify and coordinate space for recreational activities.
  • Assess and identify specific interests and needs of students to establish program goals and potential areas of growth and development.
  • Provide training and leadership development opportunities for students working and participating in various capacities within the recreation program.
  • Coordinate First Aid & CPR training for designated student staff.
  • Utilize appropriate disciplinary support systems to ensure standards of behavior for students involved in Campus Recreation activities.

Student Payroll

  • Process and perform daily operation of the student and non-exempt payroll and assist with exempt payroll ensuring compliance with University, state and federal laws, policies and regulations. Ensures that these functions are done accurately and timely. Supervises all aspects of student employment including but not limited to employee verification, I-9 compliance, W-4 and direct deposit, deductions, hours, supervisor and student employee training, payroll and other duties as assigned with regard to students with on and off campus work study positions.
  • Works with Payroll Manager to review, administer and audit vacation, sick policy and student sick and safe time and attendance processing. Assists in audits, tax compliance and student events. Assists other departments in the post of positions on Handshake, hosting of the job fair compliance of international students work study process.
  • Train and educate Student employee supervisors on hiring and time tracking within Workday. Work with IT bi-annually to maintain student employment records.
  • Partners with Financial aid in reporting of work study funds and reporting of work study with off campus employers and separation of sick and safe time from federal and state work study.
  • Work with Human Resources, Finance and other departments regarding payroll entries and set up and maintain routing queues for employees and supervisors of students. Works closely with Human Resources on any funding errors and position reporting errors.
  • Ensures that monthly, quarterly and annual tax spreadsheets are up to date for working with Payroll Manager to balance and ensure accuracy; i.e. federal tax reporting (941), state tax reporting (MW-1) and tax deposits and adhering to deadlines. Works with non-resident aliens (staff and faculty) to ensure they have proper paperwork and are treated appropriately for tax purposes.
  • Processing and updating of payments made on a monthly or quarterly basis for union dues, garnishments and wage reporting.

REPORTING RELATIONSHIPS

This position reports jointly to the Director of Student Activities and Leadership Development and the Payroll Manager.

This position supervises 10-15 student workers and all contracted staff hired as coaches for club sports including dance and cheer teams.

BUDGET MANAGEMENT RESPONSIBILITIES

This position is responsible for the following budget: Campus Recreation

Budget Range: $50,001-$100,000

REQUIRED KNOWLEDGE, SKILLS, ABILITIES AND KEY COMPETENCIES

Campus Recreation

  • Ability to provide quality recreational/sports programs and supervision, training and development of student staff.
  • Working knowledge of university programming, including but not limited to intramural sports, sport clubs, varsity athletics, group fitness and instruction, special events, etc.
  • Understanding of various sports related equipment items.
  • Excellent problem solving skills, including the ability to analyze problems, draw relevant conclusions and devise appropriate courses of action.
  • Outstanding ability to multi-task and adapt to changing priorities and tasks.
  • Experience and sensitivity working with students from diverse backgrounds.

Payroll:

  • Intermediate knowledge of payroll regulations, including understanding of payroll cycles
  • W-2 basic knowledge

MINIMUM EDUCATION/EXPERIENCE

  • Bachelor’s degree from an accredited college or university.
  • Three (3) years experience in campus recreation programming, student affairs, athletics or higher education.
  • Two (2) years professional experience with budget development and management.
  • Two (2) years experience in payroll and/or Workday HCM.

PREFERRED EDUCATION/EXPERIENCE

  • Three (3) years of progressive leadership or supervisory experience in campus recreation.
  • Valid certification in first aid/cpr/aed is strongly preferred.
  • Two (2) years of payroll experience with process and tax compliance.
  • Fundamental Payroll Certification (FPC).
  • Previous experience with Workday.

WORKING CONDITIONS / EQUIPMENT

Must perform the following essential functions with or without a reasonable accommodation:

  • Ability to work on call for events and activities.
  • Ability to work evenings and weekends as needed.
  • Ability to travel on and off campus locations.

ADDITIONAL INFORMATION

  • This is a full time, exempt, 1.0 FTE position that requires a minimum of 40 hours a week, 12 months a year.
