The Business Operations Manager is responsible for overseeing all process + system workflows from ERP order creation to customer receipt. An ideal candidate for this role has a heightened attention to detail, is a creative problem solver, and capable of seeing the big picture. The ability to collaborate with all levels of leadership to evaluate existing processes and operational issues while also thinking outside of the box for solutions to those issues or development of new processes is key. This person must be comfortable managing daily tasks that are critical to the rhythm of Free Fly’s business.

Job Tasks and Responsibilities

  • Oversee ERP system management and connections to other systems in the network
  • Work with channel partners to identify efficiencies and opportunities for workflow improvements
  • Give directional support to Operations team on improvements
  • Oversee Ecommerce and Wholesale order file management within ERP to ensure orders are feeding to 3PL + channel systems accurately and on-time
  • Work with Operations & Wholesale team on new customer EDI kick-off and setup with 3PL to ensure all parties are aware of necessary customer requirements
  • Monitor EDI workflows to identify issues and improvements
  • Work with Operations team and channel partners on building out and maintaining up-to-date demand forecasts for 3PL
  • Oversee relationship with 3PL on all Operations related duties such as demand forecasts, order issues, shipping issues, inventory management, inventory receipts, returns, QC work, etc.
  • Conduct monthly outbound shipping analysis, reporting variances to financial plans, and provide recommendations to improve days in-transit and costs as needed
  • Provide seasonal recommendations to channel partners if updates are needed
  • Coordinate with carriers / shipping consultant on issues and updates
  • Monitor surcharges and handle disputes with carriers when necessary
  • Manage operational reporting on KPIs, sharing key findings and any pertinent information to Operations team and Leadership
  • Maintain adequate production supplies levels at 3PL, working with internal departments on new creative briefs / rollouts with production supplies vendors
  • Work with Sourcing team to onboard new factory partners
  • Oversee WIP reports related to factory production in partnership with Sourcing team
  • Oversee inbound transportation management, helping to implement process and SOPs as needed
  • Work with Operations team on delayed products to determine air freight needs
  • Coordinate with Brand team on seeding opportunities requiring air freight needs
  • Conduct inbound transportation analysis to advise on cost and delivery estimates
  • Adjust deliveries to hit internal working dates while maintaining optimal costs
  • Analyze LCL and full container pricing to maximize volume and space where applicable
  • Share final costing with Sourcing team
  • Conduct system inventory analysis, working with IT and Operations teams to understand discrepancies and buildout workflow improvements
  • Analyze operational processes to build out efficiencies and streamline workflows
  • Provide direct support to Sr. Ops Manager in ad hoc reporting, analysis, and projects

Minimum Qualifications

  • Bachelor’s Degree in Business, Finance, or related field
  • At least 5 years of related experience
  • Advanced experience in MS Excel
  • Prior experience working with an ERP + connections to a 3PL, EDI, & TMS – NetSuite experience preferred
