Our client, a prominent Private Equity Fund, is seeking to hire an Executive Assistant to support their PE Team in the NYC Midtown Office, on a Temp To Hire basis. This is a hybrid role working in office 4 days/week and WFH Fridays. This is a great opportunity to support a team of committed and talented individuals at a fast paced and quickly growing firm. The successful candidate must have a can-do attitude, be a team player, and have a great work ethic. The position will be supporting multiple professionals in an already established team in the office – joining 5 current Executive Assistants. This firm requires all employees to be fully vaccinated.

RESPONSIBILITIES
Daily Tasks
Travel arrangements and logistics across time zones
Maintain and update Professionals calendars
Book and coordinate internal and external meetings
Setup conference/video calls and with internal and external parties (make sure technology is working in conference room)
Manage conference rooms for meetings
Breakdown conference room after meetings
Greet visitors
Preparation of material
Prepare material, update and edit presentations
Print, bind and distribute presentations
Conferences
Arrange and coordinate internal/external conferences
Communication
Coordinate with Portfolio Companies and Executives
Coordinate with the firm’s network of Industrial Advisors
Handling of confidential information and materials
Other
Register and update contacts in internal databases
Expense reporting
Back-up other assistants
Coordination of international meetings
Assist with office-wide projects and events, as needed

REQUIREMENTS
3+ years of experience as an assistant from either finance, consultancy or law firm
Experience and interest in:
Travel and logistic coordination (domestic and international)
Heavy calendar management
Working with databases
Work in an international environment
Communicating with executives
Experienced computer user: Gmail, Google Calendar, Dropbox, Salesforce, PowerPoint, Excel, Word
Team-minded approach to tasks and projects
Ability to multi-task and prioritize/re-prioritize as needed
Service minded with a ”can do” attitude
Focus on quality and a strong attention to detail
Flexible style and the ability to seek solutions both independently and as part of a team
Capable and driven to take initiatives
Sound commercial judgment
Strong communication skills
Strong interpersonal skills (heavy coordination across business line assistants)

SALARY
$100K + discretionary bonus + 100% covered amazing benefits + 401k match + tech + perks

HOURS
8:30am-5:30pm + flexibility for minimal OT as needed
This is a hybrid Opportunity working in the office 4 days/week and WFH Fridays.
